Our Elkins-based agency is in search of a full-time Executive Assistant to our Vision and Strategy Director. The person who will fill this role will be responsible for advancing LMC’s goals, assisting with senior clients and projects, and coordinating in-house accounting responsibilities as directed by the Vision and Strategy Director. We’re seeking an individual who will be organized, detail-oriented, and able to handle a wide range of tasks with discretion and professionalism. This role requires excellent communication skills, a proactive mindset, and the ability to manage multiple priorities efficiently. Knowledge and experience with billing, bookkeeping, and related administrative tasks are desirable.

The individual chosen for this position will split their time between executive assistant and account assistant duties. This role is not available for remote work.

Executive Assistant Duties

  • Handle sensitive and confidential information with the utmost discretion and professionalism
  • Arrange travel, accommodation, and itineraries as needed
  • Running errands as needed and attending meetings
  • Calendar management
  • Documenting and updating processes
  • Assist with Thought Leadership efforts
  • Assist with executing LMC’s strategic marketing plan
  • Assisting with optimizing the Client Services Department
  • Assistance with business development efforts to include but not be limited to monitoring for opportunities to respond to RFPs, drafting proposals, submitting proposals, and attending business development efforts
  • Assist with the preparation of monthly invoicing
  • Coordinate various bookkeeping tasks with accounting and finance partner
  • Various bookkeeping tasks, including creating and sending invoices, management of accounts payable and accounts receivable, updating various expense tracking documents

Account Assistant Duties

  • Execution of tasks for a book of senior accounts
  • Assist and lead the coordination of projects and initiatives, including research and data analysis
  • Assist with meeting management, including preparing agendas, printing reports, preparing client presentations, taking notes, and distributing action items
  • Help maintain positive client relationships by ensuring prompt communication and follow-up on client requests
  • Track client-related tasks and projects to ensure they are completed on time
  • Assist with event planning and management
  • Earned media distribution and manage and update media distribution lists
  • Email marketing assistance, drafting, coordination, and management
  • WordPress Maintenance: Updating / Uploading website content
  • Website Proofing / Quality assurance checking
  • Gathering vendor quotes & ordering items – promo Items, apparel, collateral, etc.
  • EGathering Media Buy Info from Vendors – TV, radio, newspaper, outdoor/billboard, digital ad solutions, etc.
  • Executing media campaigns and reporting
  • Drafting and directing various briefs for external partners – creative, writing, website, etc.

Requirements

  • Required 2-3 years of marketing experience
  • Prefer 1-2 years of experience in a bookkeeping or accounting role
  • Proven experience in a similar role
  • College degree in a related field
  • Must live in the Elkins area and be able to work full-time
  • Expected start date: October or Early November
